Information clause for participants in different forms of activity in the framework of the Transform4Europe project

3. Purposes of the processing and legal basis for the processing
We will process the personal data that you have provided in the application form to a dedicated form of activity in the Transform4Europe project. We process personal data ensuring the proper organization of activities, registration and implementation of the activity and for billing and reporting purposes in the project.
The legal basis for processing Your personal data is Art. 6 par. 1 point a, c, e and f of the Regulation of the European Parliament and of the Council of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data, and repealing Directive 95/46/EC (General Data Protection Regulation) :
- Your voluntary consent to the processing of personal data, including the dissemination of your image in photographs and audiovisual materials, including films published by the University of Silesia in Katowice, for publishing materials promoting the implementation of the Transform4Europe project, which involves: the use, public disclosure, recording, processing, reproduction, archiving, creation, storage and use of backup copies, publication, also in combination with images of other people (group photos) via any medium (local, national or foreign), including on the Internet and in a printed form (Article 81(1) of the Copyright Act and related rights);
We will ask you for your consent if we would like to use your image along with your personal data and publish it for the purposes mentioned above.
- fulfilling the legal obligation incumbent on the data controller , for financial settlements, including tax settlements, accounting and archiving purposes resulting from the applicable legal provisions and executive acts issued on their basis;
- performing a task carried out in the public interest, in particular conducting education and other forms of education, scientific activity, transfer of knowledge to the economy, dissemination and multiplication of scientific and cultural achievements as well as activities for the benefit of local and regional communities, resulting from Article 11 (1) of the Act – Law on Higher Education and Science;
- legitimate interest pursued by the university or a third party, through the use, including dissemination of an image constituting a detail of the whole, and not the main motive of the photo and/or recording (without close-ups of the face, i.e. in such a way as to present the fact of the activity being held, and not the image of individual people participating in it); a well-known person in connection with the performance of public functions, for information and promotional purposes (Article 81, paragraph 2, point 2 of the Act of 4.02.1994 on copyright and related rights);
- legitimate interest pursued by the administrator or by a third party to inform You in particular: about events important in the life of the university and the Transform4Europe alliance, including social, cultural, popular science, courses and trainings conducted – not containing commercial content (not aimed at producing a commercial effect); about important events in the life of partner universities, including academic celebrations.
Providing personal data is voluntary, but necessary to participate in the project. If the data is not provided, it will not be possible to achieve the above-mentioned purpose.
4. Duration of personal data storage
We will store Your personal data throughout the necessary period for the purpose of participation in specific forms of activity in the framework of the project and for archiving purposes.
Personal data of candidates unadmitted to a given form of activity in the framework of Transform4Europe will be stored for 12 months from the date of closing the registration. After this period the data will be removed.
In case the legal basis for Your personal data processing is constituted by Your expressed consent, no longer than until withdraw the consent for data processing or after the fulfilment of the purpose, for which the data was collected.
5. Data recipients
Bearing in mind that the Transform4Europe project is implemented in collaboration with other European Higher Education institutions within the framework of the alliance, Your data can be transferred to the alliance partners, depending on the type of participation You select.
The list of universities participating in the Transform4Europe project is available on the website of the University of Silesia in Katowice under: us.edu.pl/t4e.
Photos and audiovisual materials, including films created in the framework of the Transform4Europe project with Your participation, will be transferred to the Lead Partner of the project as well as other partners for informational and promotional purposes.
Furthermore, Your personal data might be transferred to public bodies, which are authorised to retrieve them based on legal regulations.
6. Rights connected with personal data processing
1) the right to withdraw your consent to the processing at any time without affecting the lawfulness of the processing carried out based on your consent before its withdrawal. The consent can be withdrawn by sending a declaration on withdrawing the consent at the e-mail address: transform4europe@us.edu.pl.
2) right to access Your personal data;
3) right to correct Your personal data, if it is incorrect, as well as to supplement incomplete personal data;
4) the right to request the deletion of your personal data, in particular, if you withdraw your consent to the processing when there is no other legal basis for the processing;
5) right to demand a restriction of personal data processing;
6) right to object to the processing of Your personal data;
7) the right to lodge a complaint to the supervisory authority dealing with personal data protection, i.e., the Office for Personal Data Protection President, when You recognise that processing Your personal data violates the regulations on personal data protection.
