Form an organisation

Do you want to actively participate in university life, work with active people and deepen your knowledge? Would you like to test yourself as an organiser and implementer of ideas?

If so, we invite you to join the university student organisations. Student organisations such as student research groups, sports teams or art clubs are real talents incubators that enable personal development in science and organisation.

  1. How to start an organisation?

Stage 1 – idea

A university organisation can be established on the initiative of a group of min. three students or PhD students interested in a common topic and idea. Before establishing your own organisation, it is worth familiarising with the offer of already existing organisations and groups that can be ‘reactivated’. If there is no student research group and other student organisation with the same name, objectives and sphere of activity, it is time to establish your own organisation.

Stage 2 – supervisor 

The foundation for establishing a new organisation is to gather several people interested in a given topic or field of knowledge, and then engage an academic teacher who could act as a scientific supervisor. Having a supervisor is not necessary for the establishment of the organisation itself, but it is obligatory when applying for financial resources. Each organisation may have any number of scientific supervisors among academic teachers professionally involved in a given field of knowledge. The supervisor’s task is to act as a mentor who will support the initiative by providing administrative and teaching assistance to members, in particular: participation in meetings of organisation members, support for activities and initiatives at the faculty and university forum, assistance and advice in determining the programme and scope of activity. 

When a scientific supervisor is selected, please submit his/her written consent along with the registration application. 

Stage 3 – application and regulations
After the organisation is established, a written application must be immediately submitted together with the regulations of activity to the Student Service Centre (see point 4 of the Annexes). Only the completion of these formalities will result in entry into the register and the functioning of the organisation.

The regulations of the university student organisation should specify:

  • name of the organisation (distinguishing it from others),
  • area of functioning and headquarters,
  • goals and methods of carrying out activities,
  • method of acquiring and losing membership (together with the causes of its loss) as well as the rights and obligations of members,
  • authorities of the organisation, the procedure for selecting them, the duration of the term of office and their competences,
  • the manner of representing the university organisation and the conditions for the validity of its resolutions,
  • rules for making changes to the regulations,
  • method of terminating the operation of university student organisations.

Stage 4

After checking the compliance and completeness of the submitted documents, the organisation is entered into the list of organisations available at www.us.edu.pl/student.
